Important:  Once you've signed up for Rackspace and added your mailboxes you need to contact us before adjusting outlook settings to finalize the process.

Rackspace is your email provider. You will be using their email system. Keep reading for details.

Rackspace - Your Email Provider

Rackspace has been around since 1999 and is the fastest growing business-email specialist in America. They have a 100% uptime guarantee (ie. your email never goes down) and use the high end Cloudmark spam system with a filtering accuracy of at least 98% (spam doesn't get through) and near zero false positives (legitimate emails don't get caught). Their support staff is available 365/24/7 via phone, email, and an online ticketing system. You must sign up for a minimum of 5 email boxes at $3/ mailbox/ month, for a total of $15/ month. Additional mailboxes may be purchased if you need more than 5. Please note that we are using the email system. If you wish to use the Microsoft Exchange email system (more expensive), that is up to you.

Please check off this checklist as you complete the steps on this page:

  1. Backup your old emails.
  2. Sign up and pay for Rackspace's email system.
  3. Add your mailboxes and aliases (forwarders) via your Rackspace control panel.
  4. Contact us and let us know you're ready to switch.
  5. Once we've flipped the switch on our end, adjust your Outlook settings.
  6. If you need help, contact Rackspace - they're available to help 24/7/365.
  7. Remember to check your spam box periodically via webmail as it is turned on by default.

Backing Up Your Emails Before Switching

Important : Existing email users - before switching to Rackspace, please ensure that you have backed up all the emails on your old website/ server:

When we "flip the switch" to transition your site to our servers, your old emails may no longer be accessible. If you are using a mail client such as Outlook/ Outlook Express, and are using the POP (or POP3) protocol, your mails are downloaded to your computer and you should be fine. If you're using IMAP or webmail, however, your emails are stored on your website server and you'll need to download them to your computer in order to back them up. To find out which protocol you're using, check your email account settings. Your incoming server will be listed as either POP or IMAP. Almost all the time it will be POP, but on occasion it will be set to IMAP. If you need help with this, contact your old website host or Rackspace.

Contacting Rackspace Support

Rackspace provides a support team that is available around the clock (365/24/7).  If you have any email related questions you will need to direct them to Rackspace. CWD does not handle email support and will not respond to your query. Rackspace is available to help you with any email related issue, from email setup on your wireless device to spam problems.  There are a number of ways to reach them.  Ways to contact Rackspace:

  • Phone : 866-392-3336 x1 (Rackspace uses a callback system to minimize wait-time - average callback time is 20 minutes)

  • Ticketing: once you're signed up, you can open support tickets inside your control panel.  Click on "Customer Care" in the bottom left of your Control Panel:

Click on "View/ Create Ticket" followed by "New Ticket" on the next page to create a support ticket.  You will receive a response shortly. You can interact with the support team on your ticket and once you're satisifed with a solution you can confirm that the ticket was solved to close it.  You can also rate the support on a scale from 1 - 5.

Getting Started With Rackspace

While we are not affiliated with Rackspace, we are providing some tutorials free of charge to get you started.

How to Sign Up

Click here to be taken to the signup page.  This page will be kept open so you can reference it during the signup-process.  Please contact us once you've signed up and have added your mailboxes via your control panel so we can finalize the setup on our end.

Selecting the number of mailboxes - select the number of mailboxes you need (minimum 5). To add 6, for example, you would choose "5" from the first drop-down, and "+1" from the second drop-down. The more mailboxes you add, the lower the monthly cost per mailbox.  When you're finished, click "Next Step." 

Specifying your domain name - on the next page you'll want to fill in your domain name (ie. example.com) into "Option 1," and click "Continue"

Create User ID and password - on the next page select a User ID and password.  These will be used to access your main control panel where you can add/ remove email addresses - only you will need them (your employees will not need this to access their email).  Fill in the rest of the fields and make sure you specify an email address that is already active (ie. that you can currently receive emails on).  Your account setup emails will be sent to this address.

Click "Next Step" to be taken to the final page - the payment page. 

Submit payment to complete sign-up - enter your payment information and submit it to complete the signup process.

Accessing your control panel - once you've signed up, you'll want to browse to your Rackspace control panel to setup your email addresses.  Click here to access your control panel (opens in a new window).

Logging in to your control panel - fill in the User ID and Password you selected during the sign-up process (these were also sent to you again in your welcome email entitled "Rackspace Setup Instructions") and click "Log In" to be taken to your control panel:

Adding Email Accounts (Mailboxes)

Adding email accounts - Under "Email Accounts" select "Add/ Edit a Mailbox."  You'll be taken to the following page where you can add email accounts (mailboxes):

Setting email name and password - here you'll see a listing of all your mailboxes, along with how many of your 5 you've used.  If you're using this for the first time, you probably won't see any.  Click on "Add Mailbox" to add a mailbox.  You'll be taken to the following screen.  The only thing you need to fill out is mailbox name (ie. "alex") and your password.  The rest is optional.  Click save when you're done.

Adding more mailboxes - repeat the above steps to add all your email accounts.

Adding your admin email address - it's important that you create an "admin" email address as a mailbox or an alias (see below for instructions on creating aliases - this is useful if you don't want to use one of your mailboxes for your admin address). ie. admin@example.com. Why? Rackspace uses the admin address in the event that you've changed your other email addresses and they need to reach you. Also, we create an admin email address by default as the contact for the domain name, and contact forms from your website may make use of this. If you don't have this email address or an alias for it setup you won't receive these messages.

Setting Up Aliases (Forwarding)

This section will explain how to add aliases - addresses whose email you want forwarded to another email address.  In your control panel, click on " Home" in the main menu bar (or simply on the Rackspace logo) to be taken back to the main page.

How aliases work - here's how this work (this screen may look confusing at first!).  The first field, "alias," is the address that will forward to an existing email address.  The existing email address can come from within the domain (ie. alex@example.com), or from outside the domain (ie. alex@uptest.com), or both. 

Specify an alias - you'll start by specifying an alias (an address which email will be forwarded on from) in the first field.  In the above example, I chose the name "alias."  Note that the domain name is already filled in for you (in green).

Specify an existing internal email address - In the second field, "Addresses inside this domain," you can select an existing Rackspace email address and click "go" to have it added to the list.  Next, you need to click on the email address and click "add" to have it added.  You should see the email address move to the right window.  Rinse and repeat for up to 50 internal email addresses you'd like your alias to forward to.

Specify an existing external email address - You may also wish to forward emails from your alias to an external email address (ie. one at a different domain).  To do so, specify up to 4 external email addresses, separated by either commas or returns.

Saving your alias - when you're done, click "save" to save your alias.  Emails sent to "alias@..." will now be forwarded to the internal and external email address(es) you specified.

Accessing Webmail and Checking Spam

Click here to access your Rackspace email via the web (in the rare instance that you can't login via that page, you can click here for an alternate login location).  You can send and receive emails as well as manage contact and calendars, and more.  Click on the spam folder to see all the spam that is being caught - you'll want to check your spam folder every now and then to make sure nothing legit is being caught on accident.  To safe list an email address that was incorrectly spammed, check the box next to the email, and then select SafeList Sender (or Not Spam) from the "Select Action" drop-down box (next to the "Delete" button).   Also, you'll want to empty your spam box every now and then (as well as your trash folder) so the size of the spam and trash folders don't affect your quota (although your quota is quite large to begin with).
